Committee Descriptions
CLUB COORDINATORS: (2 positions)
Act as a liaison between club, church and community
Oversee church approval for fund raising and special events as needed
Advertise club meetings and events in church and local publications
Open and close each meeting
Secure room
Welcome & introduce new members
Hold executive meetings when needed
Oversee all committees
Give hot sheet to Deacon Roy, Fr. Francis, Babysitters, School of
Religion
SECRETARY: (1 position)
Obtain member information and maintain member files
Compile member list and distribute to all members
Compile volunteer list and phone numbers
Take notes at executive meeting and report at the following meeting
Take care of all correspondences and mailings
Obtain bonus cards holiday gifts for Fr. Francis, the Baby Sitting
ladies and the janitors
Prepare & make copies for first meeting all club administrative forms:
Committee List, Membership Form, Snack Guidelines, Babysitting
Guidelines
Make additional packets through out the year for new members
TREASURERS: (2 positions)
Pay all club expenses
Responsible for club checking account
Collect all money (Membership, Chinese auction, etc)
Collect babysitting money every week
Reconcile babysitting $$
Tip the babysitters
Do club banking as needed
Report monthly balance to Coordinators
In August, get bank signature card ready
PROGRAMMING COMMITTEE: (2 positions)
Work together to obtain ideas for weekly meetings
Schedule speakers, brunches, crafts, holiday related events, etc. for
meetings
Introduce speakers and topics at meetings
Communicate with secretary for sending Thank You notes to speakers
Produce and distribute programming schedule
FUND RAISING COMMITTEE: (2 positions)
Responsible for weekly 50/50
Solicit ideas for intra-club fund raising
Coordinate fundraising activities
SOCIAL COMMITTEE: (2 positions)
Plan movie nights, bowling nights, game nights, etc
Plan Christmas and Year End dinners
Plan summer potluck dinners
Solicit ideas for other events and plan as needed
BABYSITTING & MOTHERS ROOM SNACK & BRUNCH COORDINATORS (2 positions)
Act as a liaison between the club and the babysitters
Give sitters Programming schedule
Inform sitters in any change in schedule that may arise
Provide snacks and supplies for babysitting rooms: Babies Room =
Crackers, tissues, etc.
Kids Rooms = Juice, cookies, tissues, hand sanitizer, etc.
Set up weekly schedule for Mothers room snack
Follow up to make sure each week is covered
Make sure pots are clean and in good working order
Make sure supply cabinet is stocked and cleaned out monthly
Organize brunches
CRAFT COMMITTEE: (4 positions)
Solicit ideas for crafts
Organize and purchase supplies for the crafts
Collect money for supplies
Coordinate scheduling of crafts with programming committee
NEWSLETTER COMMITTEE: (3 positions)
Collect information for newsletter
At least one person has to have a computer!
Produce and edit the newsletter at least 4 times a year
Mailing & distribution of newsletter
CHARITY & SUPPORT COMMITTEE: (2 positions)
Act as a liaison between the Mothers Club and St. Vincent de Paul
Collect the needed items from the Club for the pantry
Collect for the Thanksgiving Food Drive
Get donations from the Club
for Christmas gifts to St. Vincent de Paul Adopt-A-Family
Liaison between club at large and Club members and past members in
times of crisis
Bring all requests to the club and set up support schedule
Attend monthly Parish Social Committee meetings
SPIRITUALITY & PRAYER CHAIN COORDINATOR: (1 position)
Lead group in occasional prayer
Bring special prayers in to share with the group and submit to the
newsletter
Keep Club informed on spiritual events upcoming within the Parish
Keep the prayer list current
Forward prayer requests to the Mothers Club when requests come in
WEBSITE ADMINISTRATOR: (1 position)
Keep website information up to date
Post updated forms
Maintain Yahoo groups membership
